The Olympic College Corrections Education program serves incarcerated individuals within the Women’s Prison Division at the Washington State Department of Corrections. This includes two unique prison facilities: the Washington Corrections Center for Women (WCCW), located in Gig Harbor with a population of approximately 650 individuals at minimum, medium, and close custody levels; and the Mission Creek Corrections Center for Women (MCCCW), located in Belfair with a population of approximately 150 individuals in minimum custody.

Olympic College and its employees working in a correctional education program are required to follow all Department of Corrections (DOC) Policies, IT and other Security requirements, follow DOC Operational Memorandums, and comply with the Superintendent’s directions.
Under general supervision, the OA3 performs a variety of complex clerical projects and tasks such as enrolling students, inputting data in OMNI, tracking student progress, assisting students with signing up for classes, running enrollment reports, supporting staff and faculty with clerical tasks, assisting with outreach to boost enrollment, and answering questions from students,faculty or staff.

The Program Administrator provides confidential administrative support to the Associate Dean, and provides essential management services within the Corrections Education department such as acting as the lead office administrator for both facilities, working with the Associate Dean to direct the work of the two OA3 positions

 

Essential Functions 

  • Ensuring offices are open and staffed.
  • Ensuring student testing is completed, waitlists are maintained, and students are enrolled in open seats as they become available at both facilities.
  • Overseeing enrollment, registrations, and other student services offered at the facilities, ensuring accuracy of data and maintaining adherence to all required procedures (from Dept of Corrections, Olympic College, State Board for Community & Technical Colleges, and Northwest Commission on Colleges and Universities)
  • Acts as main point of contact for DOC and OC staff needing to work with the OC Corrections offices on student support, testing, and IT-related items
  • Tracking the budget and makes projections of expenditures.
  • Developing the draft schedule, with input from faculty and the Associate Dean
  • Assisting with the Associate Dean’s calendar by setting up meetings and ensuring critical meetings are on the schedule.
  • Providing support with confidential correspondence.
  • Providing the Associate Dean with analyzed reports on funding, scheduling, and enrollment
  • Training office staff to assist with onboarding.
  • With the Associate Dean, determines professional development needs of individuals working in the OC Corrections Education program, both faculty and staff. Finds resources for the professional development and works with the office staff to get them scheduled and planned
  • Other duties as assigned.

 

Qualifications

Minimum Qualifications

  • High School Diploma or equivalent
  • Professional experience in education administration, office administration with a minimum of 3 staff, or four years of responsible supervisory or administrative experience in a corrections facility.
  • Intermediate skills with Microsoft Office products (mainly Outlook, Word, Excel, and PowerPoint) as demonstrated by MS Office Certification or coursework.
  • A desire to work with incarcerated people with a positive mindset
 
Desired Qualifications
  • Bachelor's Degree
  • Experience working with justice-involved individuals.
  • Experience with ctcLink.

Terms of Employment


This is a full-time classified position scheduled to work 40 hours a week, with a salary range of $48,846 - $65,748. All classified positions will start their salary at Step A when you have completed six months of probation, you will receive a 5 percent pay increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Associate (WPEA) Union.
