The Role

The Senior Executive Assistant (EA) is a vital role for the smooth operations and success of the organization, primarily supporting the President and CEO. This position encompasses a wide range of responsibilities that demand exceptional organizational skills, discretion, and the ability to handle multiple priorities and shifting demands efficiently. The EA provides seamless administrative support to the President, CEO, and senior leadership (C-suite) as needed. The EA is available during off-hours as expected; and supports a global organization across time zones. Adeptly navigates a fast-paced environment, understanding business needs and managing numerous tasks simultaneously while working independently with minimal supervision. They communicate effectively and articulately with all levels of the organization, across different time zones and cultures. The EA demonstrates flexibility and the ability to manage and respond to multiple priorities and shifting demands, maintains a complex and changeable calendar; executes rigorous follow-up by ensuring issues are resolved and projects completed; arranges meetings and complex domestic and international travel arrangements and itineraries. Must be able to maintain the sense of urgency and intensity required by the office of the President and CEO.

This position will be onsite full-time at our San Diego, CA - Summers Ridge site.

The Responsibilities

  • Stay highly connected to senior leadership activities, take initiative, and be proactive in anticipating needs and take initiative to manage daily, weekly, monthly, activities of CEO.

  • Keep senior leadership well informed of and prepared for upcoming commitments and responsibilities. Track activities and pre-empt changes and navigate priorities.

  • Manage daily calendars, including meeting scheduling, for assigned executive and direct reports.

  • Make travel arrangements, review and submit expense reports.

  • Screen all incoming phone calls and potentially emails for the senior leader.

  • Prepare and edit PowerPoint presentations.

  • Must be able to properly handle and deal with highly confidential matters.

Meetings:

Responsible for scheduling all meetings, including both in-person and remote meetings in various locations. Coordinate complex, senior-level internal and external meetings and conference calls, sometimes across multiple locations. The Executive Assistant will also handle travel arrangements, such as booking flights, rental cars, and hotels as needed. Some travel may be required.

  • Coordinates weekly and quarterly travel and meetings, calendar appointments, and expenses.

  • Is a liaison for critical meetings with the Board and compiles itineraries, agendas, schedule.

  • Oversees daily operations by collaborating with senior management and department leaders, performing a range of administrative tasks such as managing calendars, generating correspondence, maintaining physical and electronic files, planning, and coordinating annual corporate meetings.

  • Acts as a subject matter expert, handling inquiries, developing action plans, and assisting with the preparation and dissemination of communications.

  • Assists and communicates with executives in decision-making meetings and executive initiatives.

  • Prioritizes conflicting needs, handles matter expeditiously and proactively and follows through on projects to successful completion, often under deadline pressures

  • Participates as an adjunct member of the Executive Team, by coordinating the agenda, logistics and follow-up Actions Items.

  • Builds and develops relationships with all employees to enhance efficiency and responsiveness.

Office Administration: Organize and maintain meticulous files (electronically- store, copy, file, mail, and distribute materials. Prepare materials for senior leadership signature and review paperwork for completeness and accuracy. Handle expense reports, travel coordination, receipts based on policies.

Scheduling, Networking & Planning. Liaison with other functions to coordinate information, navigate issues and plan meetings and events. Coordinate collection of information from HR, Finance, Legal, and ensure relationships across company and resolution with input from President and CEO

Miscellaneous: Other duties as assigned and required by President and CEO

Interactions

  • Works with all levels of the organization to support overall productivity of the senior executive team. Interacts with external callers/visitors. Interactions are primarily to serve administrative needs and provide information.

Work Environment

Typical office environment. Ability to file, type, and answer the phone. Ability to work flexible hours depending on projects and executive being supported.

Physical Demands

No strenuous physical activity, though occasional light lifting of files and related materials (up to 10 lbs.) is required. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus. While performing the duties of this job, regularly required to use hands to finger, handle, or feel and talk or hear. Frequently required to stand, walk, and sit. Occasionally required to reach, climb or balance. On a typical day, 80% of time is spent at the desk, on the phone, or working at the computer; 20% in meetings or interacting with team members.

Education, Skills, and Experience

Education and Experience:

  • A minimum of 10+ years' experience of executive administration support with senior executives is required. Certifications or Academic Degrees a plus.

  • C-Suite level experience required, along with global / matrixed companies.

  • Demonstrated track record of success. Healthcare industry is ideal.

Knowledge/Skills:

  • Proficient in Microsoft 365. Working knowledge of Ariba, Concur, Visio and DocuSign is a plus.

  • Excellent communication skills and professional demeanor and patience required.

  • Able to work well under pressure and handle multiple tasks at one time (prioritize) is required.

  • Ability to handle confidential information is required.

  • Works under general supervision following established procedures. May receive more detailed instruction on new assignments. This position has decision making that involves choosing the best procedure given certain facts.

  • Must possess strong organizational skills.

  • Must have extensive knowledge and understanding of being very familiar with the structure and support services of a major business units or corporate structures.

  • Heavy schedule coordination is required.

  • Strong calendaring experience and booking and coordinating travel required.

Salary Transparency

The salary range for this position takes into account a wide range of factors including education, experience, knowledge, skills, geography, and abilities of the candidate, in addition to internal equity and alignment with market data. At QuidelOrtho, it is not typical for an individual to be hired at or near the top range for their role and compensation decisions are dependent on the facts and circumstances of each case. The salary range for this position is $79,000 to $116,000. QuidelOrtho offers a comprehensive benefits package including medical, dental, vision, life, and disability insurance, along with a 401(k) plan, employee assistance program, Employee Stock Purchase Plan, paid time off (including sick time), and paid Holidays. All benefits are non-contractual, and QuidelOrtho may amend, terminate, or enhance the benefits provided, as it deems appropriate.
