Essential Job Duties

The Reservations Coordinator supports the administrative functions of the NC State Student Centers Leadership Team and Event Services. Key responsibilities include processing reservations, providing timekeeping and payroll support, managing purchasing and assets, assisting with accounting and budgeting, and supporting department-specific software needs. This position also serves as a customer service liaison for clients.

Additionally, the Coordinator supervises a team of 10–15 student reservations assistants and managers, including hiring, training, scheduling, evaluating, and providing daily support.

Key Responsibilities:
  • Process reservations and serve as a customer service liaison for clients.
  • Provide administrative support, including timekeeping, payroll, purchasing, asset management, accounting, and budgeting.
  • Support department-specific software needs.
  • Supervise a team of 10–15 student employees, including hiring, training, scheduling, evaluating, and providing daily guidance.

Other Responsibilities

  • Model the Division’s mission and values, and foster a positive, cohesive workplace and congeniality among co-workers.
  • Understand the goals and culture of the organization, and understand how employees’ work activities, teamwork, and customer service impact clients. Work with your supervisor and colleagues to understand these goals and the culture.
  • Adhere to all University policies, procedures, and regulations, and Division standard operating practices and protocols.
  • Perform other duties as assigned to ensure Student Centers business needs are met.

Minimum Experience/Education

High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Other Required Qualifications

  • Knowledge of office management techniques, effective verbal and written communication skills, familiar with office technologies with the ability to learn additional software.
  • Strong written and verbal communication skills to effectively communicate with customers, peers and supervisors; and professionally communicate with multiple levels of employees within the University.
  • Must follow written and verbal instructions.
  • Must have excellent public interaction and provide outstanding customer service, including the ability to remain professional and respectful under pressure when dealing with difficult situations, to team and customers.
  • Excellence in completing all tasks and performance goals.
  • Ability to set priorities.
  • Ability to work independently, and in a fast-paced work environment.
  • Ability to exercise judgment and apply policies and procedures, ability to establish and maintain effective working relationships with staff, management and the public.

Preferred Qualifications

  • Experience working in a University setting.
  • Experience working in office management with some
    supervisory experience.
  • Experience with event planning.
