Montgomery College has an immediate need for a full-time Foundation Scholarship Manager in the Development and Alumni Relations Department. The work schedule is Monday-Friday, 8:30 am – 5:00 pm. This is a non-bargaining, exempt, grade 27 position. Montgomery College promotes and creates a working and learning environment rooted in the basic tenets of fairness, diversity, and inclusiveness. This position is eligible for telework up to two (2) days a week. This eligibility is subject to change based on the needs of the unit.

The Foundation Scholarship Manager is responsible for the management of Foundation special scholarships, emergency assistance, accounts payable, and other programs associated with the Montgomery College Foundation. Work consists of the review, preparation and processing of information including the performance of technical and support activities that result in providing a service to Montgomery College students. Duties encompass a variety of processes and methods and the incumbent is expected to perform under minimal supervision and act independently within the scope of normal duties and responsibilities.

Contacts are with individuals from other College units, students and outside organizations for the purposes of exchanging information, scholarship award processing, emergency assistance, special event support, invoice payments, and providing various reports pertaining to financial transactions, scholarship awards and emergency assistance.

Duties include but are not limited to:

  • Manage the review, approval, awarding, processing and communication of Montgomery College special and WDCE Foundation scholarships, transfer scholarships, and emergency assistance programs.
  • Manage and track designated programs and award funds that assist students and faculty.
  • Provide guidance to students with regard to thank you letter preparation and resources for emergency support.
  • Review and process disbursements via the Workday system.
  • Responsible for Foundation check stock, preparing all checks, and appropriate back-up documents to legitimize expenditures.
  • Responsible for initiating all payments associated with the Montgomery College Foundation including wire transfers and ACH (Automated Clearing House) payments.
  • Prepare and send applicable IRS forms to appropriate vendors, while preparing form 1096 notifying IRS of the same.
  • Provide documentation to external auditors for review regarding the efficiency of operations, and integrity of system processing, and to ensure that dollars are properly accounted for and actions taken in compliance with applicable federal and state laws, rules and regulations.
  • Reconcile all scholarship awards, initiate payment for all scholarships to Montgomery College and maintain confidential files on each scholarship with up-to-date information.
  • Other duties as assigned.
     

Required Qualifications:

  • Bachelor's degree in an academic field relevant to the assigned area plus 3 years of relevant experience or Associate’s degree in an academic field relevant to the assigned area plus 5 years of relevant experience.
  • The equivalent combination of education, training, certification and/or experience that provides the required knowledge and expertise to perform the essential functions of the job may be considered.
  • Understanding of scholarship programs, including criteria for awarding, processing, and managing financial aid and emergency assistance programs.
  • Ability to manage and oversee designated programs that support both students and faculty, ensuring that funds are awarded and utilized effectively. Proficiency in using financial software for processing payments, reconciling invoices, and maintaining accurate financial records.
  • Skill in reconciling scholarship awards and financial accounts, ensuring all transactions are accurate and compliant with federal and state regulations.
  • Understanding of applicable federal and state laws, rules, and regulations related to financial aid, scholarships, and emergency assistance programs. Ability to ensure all program activities and financial transactions comply with these regulations.
  • Proficiency with operating a personal computer including Microsoft Office Suite software.
  • Proficiency in Banner, Workday or other accounting/financial record-keeping software.
  • Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship

  • Experience working in a higher education environment

Hiring Range $63,375 to $82,376 annually. Initial salary placement is based on candidate experience and internal equity.  Please include a complete resume including all relevant and related work experience.
