Century City Center- Classified II, Administrative Assistant, Library

Job Description

The Administrative Assistant, Classified II, Library is responsible to the Director of Library Services. This is a security-sensitive position and is subject to a criminal history record. (Texas Government Code 411.094 & Texas Education Code 51.215)

Specific duties include:

1. Assist faculty and students in locating, using, and circulating materials in the library.

2. Assist faculty and students with the library’s databases and other informational resources. Provide assistance in person, by phone, and online via the library’s chat room. Record reference transactions.

3. Assist students in using campus-wide informational systems including MyVC and Canvas.

4. Attend library meetings, workshops, and in-service programs.

5. Process and prepare new materials for circulation.

6. Assist librarian in maintaining catalog records for all campus locations.

7. Answer the phone and direct calls.

8. Assist the Director in collection development, weeding, and space allocation.

9. Perform basic shelf maintenance: shelve books and materials in call number order.

10. Control and circulate periodicals.

11. Assist with the inventory of library collections.

12. Manage study room reservations, including printing new pages for each week, recording student reservations, taking calls for reservations, and hanging signs to indicate upcoming room reservation requests.

13. Assist with the compilation and tabulation of library survey results.

14. Assist with the maintenance of library computers and printers.

15. Revise and update employee training manual as needed.

16. Assist in updating the library's website.

17. Assist librarian in the maintenance of the library's online catalog: Delete dated or lost materials. Run reports for additions, deletions, and costs of materials.

18. Run reports for overdue books at assigned campus location at end of semesters. Mail overdue notifications and place holds for unreturned books in the library's LS2 software and in Colleague.

19. Process ILL requests using the new statewide resource sharing program, SHAREit.

20. Issue TexShare Cards to students, faculty, and staff.

21. Assume special responsibilities on assignment by the Director of Library Services, the Vice-President of Instructional Services, and the President.

Travel Required: Very limited

Experience and Training: 1) Experience working with the public in a library, clerical, or comparable setting. 2) Excellent organizational skills with attention to detail.

Education: High Scholl Diploma or GED

Knowledge, Skills and Abilities: Applicants should: 1) Have  good oral and written communication skills and a customer service-oriented approach to assisting patrons. 2) Have general computer knowledge and experienced in using MS Office products including Word & Excel. 3) Reliable and able to work well independently as well as collaboratively in a team setting. 4) Ability to prioritize tasks and manage time effectively.

Preferred Qualifications: Some higher education experience preferred.

Minimum Educational Qualifications: High School Diploma

Salary or Salary Range: This is a full time 12 month position with full time benefits. This is a Classified II, Administrative Assistance position on the Classified salary schedule. The salary is $23,290 to $25,090 based on experience. Applications will be accepted until this position is filled. This position is available August 1st, 2024.
