Century City Center - Classified II, Administrative Assistant, Student Success

Job Description

Duties and Responsibilities: The Administrative Assistant, Classified II – Student Success is responsible to the Student Success Pathway Director for providing support for all student success programming at Vernon College. This is a security-sensitive position and is subject to a criminal history record. (Texas Government Code 411.094 & Texas Education Code 51.215)

Specific duties include:

1. Provide secretarial duties assigned by Vernon College Student Success Pathway Director.

2. Function in a multitask environment; greet visitors as they enter the Student Success suite; and determine the student’s needs.

3. Provide outreach, scheduling, student onboarding, and process support for students for all student success programming including advisement, counseling, striving to end probation status (STEPS), peer mentoring, early alert, academic coaching, new student orientation, and student success series.

4. General knowledge of class schedules, College catalog, and College processes (e.g., application to enrollment, course withdrawal, change of major) in order to provide accurate information to current and prospective students.

5. Proficient in the use of technology (e.g., Excel, POISE, DocuBase) in order to assist with prospective student onboarding and current student success programming.

6. Handling of emails, walk in customers, and telephone inquiries with regard to Student Success and other VC departments.

7. Arrange conferences, meetings, and travel reservations for office personnel.

8. Maintain supplies of materials and forms used for the routine function of the office.

9. Receive and distribute incoming mail as well as monitor and stock brochure exhibits.

10. Maintain Student Success files and confidentiality of all student information.

11. Help supervise work-study students assigned to the office.

12. Assist in regular, late and extension center student registrations as assigned.

13. To organize and update promotional materials including but not limited to handouts, bulletin boards, video monitors, and website.

14. Assist with the maintenance and updating of all student success programming resources, materials, and forms.

15. Continually update/upgrade computer, software, and other secretarial skills.

16. Process requisitions, expenses, and invoices for all office purchase.

17. Function as a team member of the Division of Student Services professional staff in the development and implementation of processes necessary to accomplish the goals and philosophy of the division and the College.

18. Assume special duties and responsibilities as assigned by the Student Success Pathway Director, Vice-President of Student Services, and/or the President.

Travel Required: Very Limited

Experience and Training: Requires one year or more receptionist experience as well as general office work experience with emphasis on computer related skills and general record keeping.

Education: High School Graduate or equivalent required. Some higher education experience preferred.

Knowledge, Skills, and Abilities: Skills in meeting and assisting the public. A working knowledge of higher education practices. Ability to perform detail work and the ability to follow verbal and written instructions.

Preferred Qualifications: Excellent interpersonal and customer service skills to be a positive representative for Vernon College. Must have strong oral and communication skills. Must e able to plan and manage tasks, understand and follow detailed instructions. Strict confidentiality must be maintained. Regular reliable attendance is required.

Minimum Educational Qualifications: HS Diploma

Salary or Salary Range: This is a full time 12 month position with full time benefits. The salary is a Classified II position based on the Classified Salary Schedule. The salary is $23,290 to $25,090 depending on experience. Applications will be accepted until 6/9/2024. This position will be available on 7/1/2024.
