Position Description

Junior Achievement of Southern California (JA) seeks a proactive, exceptionally organized, detail-oriented, and enthusiastic Executive Assistant (EA) to provide direct support to the Chief Operating Officer and (as directed) the President and CEO. Reporting to the Chief Operating Officer, the EA is responsible for several important administrative and operational functions. The EA will manage a rapid flow of work, handling many daily tasks spanning multiple projects, and must be extremely personable with internal and external constituents. The EA must be a reliable and creative self-starter and demonstrate sound judgment and discretion while also possessing a humble nature and high level of maturity, carrying out essential office functions and providing recommendations on improvement opportunities. Working with the President and CEO, the EA will liaise with the Board of Directors; the EA organizes and coordinates executive outreach and external relations efforts.

This position requires a passion for youth development and is an exceptional opportunity to work collaboratively with the entire JA staff to support and deliver on JA’s organizational mission and strategic vision. A successful candidate would possess excellent multi-tasking abilities, highly developed interpersonal skills, strong judgment, and tact, and find fulfillment in providing administrative, operational, and logistical support, helping to maximize the COO & CEO’s time, and ensuring the office is functioning smoothly, effectively, and efficiently.

This is a full-time in-office position. Some evening work is occasionally required.

Primary Responsibilities

  • Complete a broad variety of administrative tasks, including entering and retrieving data from the BCRM system; doing research and composing informational briefs for meetings and special projects; and completing meeting material preparation (printing, organizing, and compiling documents for the COO, as well as for other members of the organization’s executive team, as directed)
  • Serve as the administrative liaison to JA’s Board of Directors, including setting the yearly calendar of meetings and events, scheduling meetings, taking minutes, distributing materials, and coordinating logistics; ensure compliance in board matters, ensuring all necessary materials and information are up to date.
  • Ensure supporters and event packages within the OneCause website are updated for each special event.
  • Data entry into Excel to prepare accounts payable and cash receipts for entry to the Sage account system.
  • Complete search on companies and individuals in the LA and OC areas for CEO follow-up for prospective partnerships.
  • Assist the COO with special events logistics, including sponsor tracking and follow-up along with the day of the event set up, registration, and post-event follow-up. This may require evening or early morning hours.
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and with excellence; follow through on projects, including special projects, to successful completion, often with deadline pressures.
  • Complete a variety of office management tasks as assigned by the COO.
  • Be a strong representative for the COO and the President & CEO.

Skills and Qualifications

  • Undergraduate degree or equivalent preferred
  • Exceptional organizational, interpersonal, and oral/written communication skills; strong attention to detail
  • Ability to handle multiple tasks simultaneously, prioritize accordingly, juggle changing deadlines, and understand the nuances of supporting senior-level staff members.
  • Two+ years of full-time, professional work experience preferred (directly relevant administrative support experience a plus), with the ability to self-start and self-manage with minimal supervision.
  • Strong mission alignment and passion for empowering young people to succeed.
  • Demonstrated ability to work well independently and effectively in a fast-paced environment (in person and virtually, now and in the future), being flexible and adaptable, accommodating last-minute changes, responding to a high volume of e-mail and phone inquiries while maintaining excellent customer service, accuracy, and prompt response time; lead projects and effectively prioritize time and tasks.
  • Ability to work well in a highly collaborative team environment with proven ability to build strong relationships with individuals at all levels of an organization, as well as external constituents.
  • Learns and grows from mistakes, course correcting, when necessary, promptly, and transparently
  • Strong computer skills; Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Publisher)
  • Knowledge and experience with a CRM system, preferably Blackbaud (e.g., Raiser’s Edge); familiarity with accounting systems.
