SUMMARY
Serves as Assistant Director of Athletics to coordinate and oversee daily operation of the athletic department. Serves as athletic administrator in the absences of the Director of Athletics as well as when GRCC is hosting
multiple athletic events at multiple locations and at National Junior College Athletic Association (NJCAA)/Michigan Community College Athletic Association (MCCAA) meetings. Performs administrative support services for the Director of Athletics. Provides management support for all home athletic events. Position requires communication with student-athletes, coaches, athletic administrative staff, registrar, financial aid, academic advising, academic support and tutorial services, and admissions. Responsible for the coordination of
student-athlete eligibility in conjunction with the Director of Athletics. Supervision of support staff, student employees, and event staff.

ESSENTIAL FUNCTIONS
Compliance
• Ensures necessary documentation is collected for academic eligibility each semester
• Maintains and adheres to current policies and procedures to ensure compliance with all Title IX, NJCAA, MCCAA and Grand Rapids Community College (GRCC) regulations
• Provides oversight and supervision of all compliance and academic related issues for the department
• Monitor rules of compliance for recruiting, play/practice seasons, financial aid, student work study, and camps and clinics
• Administer and issue athletic Letters of intent (LOI)
• Verify transfer documentation
• Process game day eligibility checks and daily enrollment of student-athletes
• Oversee progress of student-athlete’s grades
• Submit hardships and ejection forms
• Ensure GRCC is following NJCAA social media requirements
• Maintain digital and hard copies of individual student-athlete eligibility files
• Submit final eligibility to the NJCAA after review with the Director of Athletics
• Monitor official visits for prospective student-athletes
• Assist the Director of Athletics with interpretation of NJCAA/MCCAA rules and bylaws
• Assist in coordination of intersession courses with student-athlete when necessary
• Coordinate coach and student-athlete orientations
• Assist the Director of Athletics with distribution of athletic scholarships and maintain athletic scholarship spreadsheet per NJCAA, MCCAA and GRCC guidelines
• Educate student-athletes on NJCAA, MCCAA, and GRCC rules and regulations
• Submit NJCAA/MCCAA academic awards for student-athlete recognition
• Education and outreach of high school students on enrollment to GRCC Academic Services and Student-Athlete Services
• Work directly with coaches and student-athletes to maintain athletic eligibility throughout the academic year
• Administer progress report throughout each semester
• Administer and supervise the student-athlete mentor/mentorship program/study tables
• Maintain current knowledge of NCAA, NAIA and GRCC transfer requirements
• Work with academic advising and Exercise Science to host athletic academic advising events
• Work with academic advising to help facilitate the graduation and retention of student-athletes
• Knowledgeable about community and campus resources for referrals and creative strategies to encourage and support student-athletes
• Assist with the coordination of volunteer opportunities, for athletic teams
• Create and send out monthly student-athlete support newsletter

Event Management
• Coordinate Letter of Intent signings with coaches and student-athletes
• Monitor team tryouts and showcases
• Cover evening and weekend events when necessary
• Organization of internal and external events such as the John Bos All Star games as well as Regional and National events hosted for the NJCAA
• Supervise, train and evaluate event staff
• Assisting in the coordination of Sophomore Night for all sports and individual team banquets
• Oversight of Alumni day for former student-athletes. Working with Alumni relations to coordinate athletic alumni events
• Assist with completing post season regional and national tournament packets for teams who make the post season Support Staff Supervision
• Supervise student-employees and contracted event staff for department needs and event management Team Travel
• Serve as backup for any team travel coordination which includes balancing team schedules and travel needs.
• Provides assistance with meal orders, hotel arrangements, flights, busing and team travel
• Respond to team needs during inclement weather situations and mechanical travel disruptions
• Assist coaches with writing and collecting travel itineraries Sports Information
• Coordinate Letter of Intent signings with coaches and student-athletes
• Ensure team schedules and rosters are up to date and accurate of GRCCRAIDERS.com
• Serve as backup for updating website and social media when Sports Information Director is not available
• Serve as a backup for uploading stats into the NJCAA website weekly
• Maintain compliance portion of GRCCRAIDERS.com
• Coordination of media day for all athletic teams

Other
• Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position.
• Performs other related duties as assigned
• Persons in this role are identified as a Campus Security Authority (CSA). CSA's will be trained and responsible for reporting Clery Reportable Crimes to Campus Police as required by the Clery Act.

JOB SPECIFICATIONS
Education Credentials
● Master’s Degree Required

Work Experience
● Two or more years of experience in an athletic department as a college coach or administrator required; preferably at a community college
● Knowledge of NJCAA, NAIA and NCAA eligibility and compliance preferred
● Administrative experience preferred
● NJCAA experience preferred

Skills
● Strong focus on student engagement
● Proficient in Excel and MS Office Suite
● Familiarity with NJCAA, NCAA and NAIA rules
● Background in athletic administration
● Ability to adapt to a flexible schedule

Physical Demands
● Ability to lift 25lbs

Mental Demands
● Strong interpersonal, organizational and communication skills; ability to effectively interact with faculty, staff and students
● Experience working with non-traditional students from diverse backgrounds and with varying academic skills
● Understanding of confidentiality as related to professional Code of Ethics, HIPPA and FERPA guidelines
● Model good sportsmanship, discipline and accountability
