Job Title: Part-Time Finance Coordinator
Accountability: Reports to the Executive Director (ED)

Job Description:
The Part-Time Finance Coordinator provides essential financial support to the Cincinnati Education & Research for Veterans Foundation (CERV). This role emphasizes the importance of understanding and adhering to current government policies related to non-profit and project accounting, with a specific focus on grant accounting. The coordinator will handle the financial operations of CERV, ensuring compliance with accounting standards and maintaining accurate financial records, particularly in managing grant-related finances. The position requires close collaboration with the Program Manager and other team members to ensure precise financial reporting and budget management.

Main Responsibilities:

  • Ensure compliance with Generally Accepted Accounting Principles (GAAP) in all financial matters.
  • Manage and maintain all relevant grant and industry-related applications and directories.
  • Prepare financial statements and maintain audit-ready books.
  • Stay current on government policies, procedures, and regulations regarding non-profit fund and project accounting, particularly in grant management.
  • Manage vendor contracts and insurance for the organization.

Specific Duties:

Financial:

  • Oversee all day-to-day accounting and finance operations, including accounts payable and receivable.
  • Prepare and maintain budgets for CERV’s administrative departments, ensuring accurate tracking and reporting of all funds.
  • Analyze and reconcile all general ledger accounts, providing monthly budget vs. actual analyses.
  • Prepare monthly, quarterly, and annual financial reports for management and the Board of Directors.
  • Co-Manage the year-end audit conducted by an independent accounting firm.
  • Maintain bank signatory records and reconcile bank statements to CERV’s general ledger.
  • Assist in the preparation and maintenance of project budgets in collaboration with the Executive Director.
  • Manage and maintain all post-award investigator accounts and distribute monthly investigator account reports.
  • Handle accounts receivable and collections.
  • Prepare annual financial reports for the National Organization and the Veterans Health Administration (VHA).
  • Oversee Post Award grants and Cooperative Research and Development Agreements (CRADAs).
  • Support budgeting and forecasting activities.

Special Assignments:

  • Undertake special assignments as requested by the Executive Director.

Requirements/Qualifications:

  • Bachelor’s degree in Accounting, Finance, or Business with 5 or more years of relevant experience.
  • Strong knowledge of grant accounting is required.
  • Knowledge of Non-Profit Corporation (NPC) accounting is preferred, but candidates who do not have this knowledge must be willing and able to learn.
  • In-depth understanding of GAAP, particularly as it applies to non-profit and project accounting.
  • Experience in Fund and Project Accounting, especially in managing government grants.
  • 501(c)(3) accounting experience preferred.
  • Demonstrated ability to prepare audit-ready financials and experience working with independent audit firms.
  • Ability to collect and analyze financial data, identify trends, and institute operational changes.
  • Strong problem-solving skills, ability to meet deadlines, and capacity to work independently in a fast-paced environment.
  • Excellent interpersonal and communication skills, with the ability to interact with senior management and external stakeholders.
  • Strong organizational skills and attention to detail.
  • Proficiency in QuickBooks and Microsoft Office is necessary & required.

Job Type: Part-time

Pay: From $30.00 per hour

Expected hours: 24 per week
