Location: US Based Home Office (Remote)
Reports to: Managing Director, Professional Learning and Program Operations
Status: Exempt; Full Time (M7/B7)
Start Date: Immediate
Salary Range*: $95,000 - $115,000

The Director of Program Operations will oversee all operations and processes of the Program team. Reporting to the Managing Director, Professional Learning and Program Operations, this position will ensure that: program strategy and operations are linked by effective cross functional planning, communication and workflows; data monitoring and tracking systems reflect and drive to our program goals; and standardized operating procedures and standards are utilized throughout all Program departments and teams.
The Director of Program Operations will supervise the Manager, Program Operations, and will also indirectly oversee a team of US program administrative staff. This person will participate in several cross-functional teams to develop and monitor systems and workflows to ensure excellent planning and communication across all departments and to ensure seamless experiences for our educator audiences.
Who You Are: You are a consummate operations professional that has experience developing, monitoring, and implementing cross-functional projects and programs. You have a proven track record of successfully executing complex and new operations initiatives, building cross functional relationships, as well as building collaboration with external partners. You are excited to lead a new program operations team working on providing operational support across the organization and breaking down silos. You embrace change and are not afraid to bring new and more efficient processes to the organization. You are a stickler for accuracy, you anticipate challenges and pro actively work to fix them. You are passionate about Facing History’s mission and our work in the field of education.
Key responsibilities include:
Program data management

Oversee the Program Team’s use of Salesforce in documenting and monitoring school and districts strategic interventions and educator engagement by ensuring that staff are trained and completing data input

Ensure all key Program functions have relevant data dashboards and monitor progress toward program metrics

Help to define measures of success and ensure that systems are in place to report on the progress of goals, plans, and activities across all Program functions.
Resourcing, Systems and Workflows

In partnership with the Managing Director, Professional Learning and Program Operations, help coordinate and assign program staff to all fee for service contracts and philanthropic program engagement opportunities across the US.

Partner closely with the Sales Manager and the Growth and Engagement team to create and maintain seamless workflows and processes for all fee for service contracts.

Use Click up to intake and track all professional learning events (both online and in-person) to assess staff capacity and to communicate about Program plans across the organization.
Budget Management

In partnership with senior Program management, drive the annual budget process for Program, including setting up an annual calendar, updating templates as needed, preparing the program budget, and ensuring alignment with the Finance office’s policies, practices, and calendars.

Help to monitor spending across all Program functions
Planning and Coordination Internally and Cross Teams

In conjunction with senior Program management, prioritize, track and monitor Program’s projects across all functional areas to ensure coordination across functions, including Marketing, Digital Ops, Finance, Growth and Engagement.

Oversee and coordinate all Program Leads to ensure all verticals within Program are participating in and have shared knowledge about all Program systems, workflows, policies, and protocols.

Meet quarterly with Program’s functional leads to ensure their DXP work is coordinated and on track

Minimum of 7 - 10 years of experience in operations, program or project management

Experience working in education and/or non-profit settings strongly preferred

Disciplined self-starter and independent worker with creative energy; Experience successfully working remotely strongly preferred

Effective interpersonal and relationship building skills; Able to work with people at all levels of an organization and successfully build relationships virtually

Strong Project Management skills and ability to manage multiple projects and shifts priorities as needed, experience with ClickUp a plus

Exceptional organizational skills with strong attention to detail a must

Excellent communication, writing, and editing skills

Creativity, communication, collaboration, and teamwork are key in this role

Excellent computer skills, including experience with Google Suite and Microsoft Office Suite

Cultural sensitivity and ability to work with a wide range of internal and external contacts from diverse backgrounds

Hybrid Work Model (For HQ): Facing History and Ourselves operates in a hybrid work model, allowing staff flexibility in both schedules and work locations. This particular position is home-based. Some travel is required.
